Job Requirement

Responsibilities :

Factory Administration

  • Ensuring all aspects of factory administration are running smoothly
  • Accounting
  • Stationery
  • Housekeeping
  • Pantry
  • Attendance Management
  • Labour Compliance

Merchandising Support

  • Work with the merchants to understand the requirements
  • Provide costs to the merchants for quotations
  • Provide photographs to vendors for presentations
  • Provide feedback to merchandisers regarding the status of the orders



  • Set up SOPs for effective Sourcing of products
  • Ensure all sourcing activities are running smoothly
    • Receive instructions from factory in-charge regarding sourcing of products
    • Regularly visiting vendors where production orders are placed for status of production
    • Following up with vendors to receive products as per timelines
    • Coordinating with design team to receive instructions for sampling


Store Management

  • Set up SOPs for effective Store Management
  • Ensure all store activities are running smoothly
    • Ordering factory consumables as per plan
    • Keeping track of orders placed at vendors and communicating with the sourcing team for the status of the same
    • Unloading of items received
    • Checking of received materials – for quantity against PO and challan
    • Ensuring that the unloaded materials are correctly stored
    • Making entries of daily received materials in ERP
    • Filing of challans of materials received
    • Checking & forwarding the received bills against PO and forwarding the same to accounts for payments
    • Making material outward entries in system
    • Receive GRN from Accounts for rejected materials
    • Ensuring rejected materials are handed over to vendor
    • Ensuring store is well organized
    • Conducting regular stock checks and ensuring that the physical stock tallies with system stock
    • Participating in annual stock audits
    • Being vigilant of pilferage from the store
    • Ensuring completion of all documentation
    • Making monthly stock statement


Production& Maintenance

  • Set up Production SOPs as per lean manufacturing principles
  • Preparing daily, weekly, monthly production schedule
  • Estimate manpower requirements to execute the job
  • Estimate material requirements to execute the job
  • Ascertaining timelines to complete the job
  • As per current factory capacity and production load, ascertaining requirements of outsourcing of production and finishing processes and executing the same
  • Establishing priorities of jobs 
  • Monitoring progress; revising schedules; as per requirements
  • Reporting on daily basis regarding progress of production schedule
  • Preparing daily planning sheet, process sheet, daily reports, material sheet
  • Reports for weekly/ monthly/ quarterly/ yearly meetings
  • Guiding the team regarding priorities
  • Ensure Maintenance activities are running smoothly


Quality Assurance

  • Preparation of QAP(Quality Assurance Plan) for all jobs
  • Conducting stage wise inspections as per QAP
  • Coordinate with Production team for sample inspections at regular intervals
  • Prepare quality reports
  • Identify causes for quality issues if any
  • Ensuring finished goods are checked for for  quality - Size, Colour, Dimensions
  • Visiting vendor sites for Inspection (if required)
  • Rejecting batches based on reports
  • Ensure that production is following quality standards
  • Preparation of Inspection Reports and sending to Management
  • Maintaining all document files and test records in a timely and accurate manner
  • Monitoring critical equipment in the factory to ensure proper operation and calibration


Dispatch Management

  • Ensure all dispatch activities are running
    • Picking of orders correctly from system as well as warehouse
    • Packing as per delivery schedules
    • Coordinate with local transporters for receiving quotations for dispatch
    • Take approvals for finalizing of transporter from business head
    • Coordinate with transporter to arrange vehicle for dispatch
    • Provide documents to transporter for dispatch
    • Coordinate with driver to track delivery status of job
    • Update Sales team regarding delivery status of job
    • Generate invoices as per sales orders prior to dispatch
    • Generate e-way bills
    • Follow up for Road Permits
    • Prepare Invoices
    • Ensure invoices are sent to party
    • Print and compile all dispatch documents (Road permit, Commercial Invoice, Delivery Challan, LR, e-way bill)
    • Send all acknowledged documents alongwith related


Team Management

  • Ensuring all aspects of the factory are functioning smoothly
  • Monitoring activities of the team and all SOPs are implemented correctly
  • Ensuring that enough people are available in the team for smooth functioning of the plants
  • Acting as the spokesperson of the team
  • Coordinating with HR for any employee development initiatives
  • Evaluating team performance
  • Suggesting newer initiatives to HR for  team development
  • Participating in selection interviews
  • Orienting and training new joinees in the department
